I have clients come to me all the time who are scaling and think they will need so many more team members than they already have in order to hit their goals.
And usually it’s because they are observing other people scaling and they are seeing their teams getting bigger and bigger.
But I’ll tell you the same thing I tell my clients every time they say “well X has a whole X department now” – they’ll be calling me soon!
I’m going to share with you one simple truth right now. More money and more clients doesn’t necessarily equal more team members.
If you remind yourself of that, you will be able to make better hiring decisions.
I have been in programs where they receive large influxes of clients at once – like in the hundreds and thousands. And it has been so interesting observing their approach to preparing for each launch.
Every launch, they’ll hire a new round of coaches, likely expecting that they’ll get so many questions now and they’ll need a lot of backup support.
So they put MORE people behind things, instead of increasing PROCESS AND PROFICIENCY.
Adding more people won’t do this. And I know this because my clients and I have both noticed that despite being in programs with tons of coaches, the coaching support doesn’t get better lol
In fact, I’ve been in programs with less questions getting answered despite having more coaches.
You probably don’t need to add calls or people yet to feel confident scaling your offer.
Instead you can improve your process and proficiency. For example by adding Curriculum Rules or Question Standards – like what questions get answered what way, etc.
You can also account for client behavior trends like 100 people might join at once and you’ll have a high question and participation rate the first 30 days, but maybe your baseline activity is only 20%.
We want you hiring out of knowledge for baseline, not fear of busy.
The same goes for Agency Owners. If you want to manage another 5-10 clients a month, you may not need more people, you may just need to improve your Process and Proficiency by streamlining your service, how you take payment, and who does what, when.

It’s likely going to look like this:
